For LEA Hub Administrators

Data security is important. DC PCSB has made the intentional decision to prioritze security over convenience, and will continue to do so. We recognize these procedures add time to the getting started process, and we thank you for your patience and commitment to data security.

Getting access to DC PCSB's data systems may take time, and we recommend LEAs actively manage who has access to our data systems before urgent deadlines arise. While DC PCSB staff make an effort to quickly address requests for new users, new user requests are not considered an emergency, and are prioritized accordingly.


LEA Hub Administrator Role

The LEA Hub Administrator role is assigned to one user per LEA who is responsible for provisioning and managing that LEA's Hub and Epicenter user accounts. Users assigned to the LEA Hub Administrator role also gain access to the LEA Hub Administrator Control Center Hub dashboard, where they can access Hub and Epicenter user credential management tools.

Assigning the LEA Hub Administrator Role

LEA Executive Directors are responsible for designating which LEA user should be assigned the LEA Hub Administrator Role. DC PCSB recommends that the LEA Hub Administrator Role be assigned to a user whose job responsibilities include managing user credentials - meaning that the user does not need to be an "administrator" at the LEA to be assigned the role.

Transitioning the LEA Hub Administrator Role

In the event that the LEA Hub Administrator Role needs to be assigned to another user, the Executive Director would submit a Hub ticket and indicate which user to assign the role to. In order to ensure continuous user credentialing coverage for the LEA, DC PCSB encourages LEAs to be proactive in making sure the role is assigned to an active LEA user.

Requesting Access for New Users

DC PCSB only grants Hub and Epicenter access to new users based on tickets submitted by LEA Hub Administrators in the Hub. This requirement allows DC PCSB to audit our own security practices, monitor response times, and ensure continuous coverage.

Hub Access

In order to grant access to a new Hub user, please submit a ticket that includes the following information:

  • User's email address
  • Hub processes the user should have access to (Academic, Compliance, Enrollment Planning, Equity, Financial)

Epicenter Access

In order to grant access to a new Epicenter user, please submit a ticket that includes the following information:

  • User's first and last name
  • User's email address

Hub and Epicenter Access

If a user requires both Hub and Epicenter access, the LEA Hub Administrator may submit one ticket that includes the following information:

  • User's first and last name
  • User's email address
  • Hub processes the user should have access to (Academic, Compliance, Enrollment Planning, Equity, Financial)

Managing Access

DC PCSB relies on LEAs managing their own Hub and Epicenter users. It is each LEA's responsibility to ensure that the appropriate users have access, and that users are removed in a timely manner when they leave the LEA. Because DC PCSB's data systems are not connected to each LEA's systems, deleting a user's email address does not automatically revoke a user's access to DC PCSB systems. As long as the user remembers their password, they may be able to log in until they are forced to reset their password.

LEA Hub Administrators can revoke a user's Hub access by clicking Revoke in the LEA Hub Administrator Control Center Hub dashboard. Likewise, to remove a user's Epicenter account, an LEA Hub Administrator can click Remove Account in the LEA Hub Administrator Control Center Hub dashboard.

Managing Permissions

In addition to Hub access, users can also be granted permissions to see and work with specific types of data within the Hub. These permissions are managed at the LEA level; for users with access to data for multiple LEAs, it is possible for a user to have permission to see information for one LEA and not for another.

Permissions are designed to compartmentalize sensitive conent within the data system. DC PCSB allows each LEA Hub Administrator to manage their users' Hub permissions within the system. Only the LEA Hub Administrator can make changes to permissions at the LEA.

Users can view their individual user permissions and the email address of their LEA Hub Administrator at the bottom of their home screen within the Hub.

LEA Hub Administrators can grant or revoke permission to specific types of data within the LEA Hub Administrator Control Center Hub dashboard.
